Privacy notice

How Ashchild handles personal information, in plain terms.

Still being finalised, and added here before the site takes live enquiries: the named contact responsible for data protection; our ICO registration number. Everything else in this notice is complete and current.

Who we are

Ashchild Ltd is the controller of the personal information described in this notice. Ashchild Ltd is registered in England and Wales, company number 17147961. You can reach us about anything in this notice at info@ashchild.co.uk, or by post at 15 Buller Road, Manchester M13 0PP.

What we collect, and why

When you send an enquiry, we receive the details you choose to give us — typically your name, contact details and information about the support, staffing, cleaning or childcare you're asking about. We use it to respond to your enquiry, discuss what you need and, if you go ahead, arrange the service.

When you apply to work with Ashchild, we receive the details of your application — your name, contact details, the work you're looking for and, where relevant, a professional registration number. We use them to consider your application and contact you about the next step.

Please don't include medical or health information in a first enquiry. Needs are discussed properly in a follow-up conversation, where anything sensitive can be handled with appropriate care.

The lawful bases we rely on

The law asks us to name a lawful basis for each way we use personal information. Ours are straightforward:

  • Responding to enquiries and discussing what you need — our legitimate interest in replying to the people who contact us.
  • Arranging and delivering a service you've agreed to — the contract between us, and the steps you ask us to take before it's in place.
  • Considering an application to work with Ashchild — steps taken at your request before a contract, and our legitimate interest in recruiting carefully.
  • Checks the law requires of us, such as confirming the right to work in the UK — our legal obligations.

Where a care service involves health information, we'll explain at the time exactly how it will be used, and ask for your explicit consent before we record it. It's never collected through this website.

Where your information is kept, and who sees it

Your enquiry is seen by the Ashchild team members who deal with it. It's held in the systems we use to run Ashchild — our email and the day-to-day records behind each service. The providers of those systems process it for us under contract; they don't use it for their own purposes.

We do not sell personal information, and we do not share it with anyone for marketing. Where arranging a service means sharing details with the person delivering it — the professional covering a placement, the nanny working your event — we share what they need to do the job well, and no more.

How long we keep it

We keep personal information only as long as it's needed, then delete it. As a working rule: enquiries that don't lead to a service are deleted after six months; applications that don't progress are deleted after six months, unless you ask us to keep your details in mind for future work; and records of services delivered are kept for six years, because contract and tax law effectively require it.

Your rights

UK data protection law gives you rights over your personal information. You can ask us:

  • for a copy of the information we hold about you
  • to correct information that is wrong or incomplete
  • to delete information we no longer need
  • to stop or restrict how we use it, in certain circumstances
  • to object to our use of it, in certain circumstances

Complaints

If you're unhappy with how we've handled your information, contact us first at info@ashchild.co.uk and we'll look into it. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies and analytics

This website sets no analytics or marketing cookies and runs no tracking. If that ever changes, this notice will change first, and anything optional will ask for your consent.
